We are currently recruiting for the following role in our Vancouver office:
Assistant Manager, National Document Processing
Essential Functions:
- Supporting the Manager, National Document Processing with implementation of a new national Document Production process while providing ongoing support and guidance to reach short and long term goals that align with the Firm's objectives
- Follow-up with users to ensure high quality of client service and jobs, and consistency of experience
- Assist with organizing incoming job requests to maintain workload consistency and meet production deadlines
- Assisting with development and implementation of National Document Processing policies, procedures and best practices
- Assisting with the development and implementation of a national translation process, procedures and best practices
- Assist with liaising with professionals and legal assistants in order to plan workflow, set priorities and clarify instructions as necessary
- Processing of various documentation from inception or by editing, converting, and formatting a variety of documents, including scanned documentation, letters, memos, legal documents, presentations, spreadsheets, flow charts, tables as well as hard copy or handwritten notes using a variety of software applications
- Transcribing digital dictation and converting audio files to be imported for transcription
- Assist with tracking and approving overtime; managing team members' vacation leave and other absences
- Making arrangements for additional national coverage throughout the evenings, weekends, and occasionally on holidays when necessary
- Acting as resource person regarding questions about standards of document preparation
- Monitoring department mailbox evenings, weekends and afterhours
- Other administrative duties as required
Qualifications:
- Two plus years of supervisory experience in Document Processing required.
- Bilingual (French/English) required. Perfect proficiency in written and oral English and French, particularly: excellent writing, editing, spelling and grammar skills;
- Minimum 10 plus years of experience in Document Processing in a law firm or other professional services firm required.
- Strong technical skills with advanced knowledge of Microsoft Office applications (Word, PowerPoint, Excel, Visio), Adobe Professional, Workshare Compare, iManage, DocXTools and digital transcription software
- Must possess strong analytical, problem solving, and decision-making skills
- Strong leadership abilities with the capacity to articulate team objectives and uphold a professional environment
- A proactive self-starter who is highly organized, has exceptional time management skills with the ability to manage multiple projects and deadlines ensuring timely completion
- Ability to communicate effectively with other Firm members, with the aptitude to take care of clients' needs in a professional and courteous manner
- Capacity to work independently, as well as in a team environment
- Produce a high quality work product in tight timelines
- Able to prioritize and to redefine priorities when necessary
- Flexible to work overtime when the need arises; May be required to work evenings, weekends and holidays
- Salary range $83,000 - $100,000.
